Every organization documents differently. That's why you decide which fields, sections and functions your teams see in caralegal. As an administrator, you manage this centrally on the Settings page. The page is organized into three sections so you can find the right setting quickly: General Settings, System Settings and Feature Settings.
General Settings
This section contains the basic settings for your caralegal environment.
System Settings
The system settings let you define which areas and functions are available to users without administrator rights. This keeps the interface clear for your business departments and shows only what is relevant for their daily work.
All of the settings in the System section are not new - they have been there already and have only now been grouped together.
Hide predefined user roles - this will hide the default Caralegal user roles. Used in cases when a customer only uses custom roles instead of the predefined ones. This toggle is not available to all customers.
Hide batch functionality for Non-Admin users - This hides the possibility to apply a function to multiple items at once (for example deleting them).
Hide Resources for Non-Admin users - Non-Admin users will not be able to access the Resources.
Hide Dashboard for Non-Admin users - Non-Admin users will not be able to access the Dashboard.
Feature Settings
In this section, you adapt the individual caralegal modules to your documentation practice. You can show or hide fields, define mandatory information and activate additional documentation options.
Data breaches
General
Data breaches: Enable "First name" field
Data breaches: Enable "Last name" field
Data breaches: Enable "Email" field
These fields can be toggled on and off. If the public form feature is used these fields get populated by form submission.
Enable "Incident Cause" field (new) - Adds a select field that can be configured in the Resources.
Evaluation
Enable "Incident Impact" field (new) - Adds a select field that can be configured in the Resources.
Enable "Measures Already Taken" field (new) - Adds a select field that can be configured in the Resources.
Further settings
Enable "Data Subject Notification" Section - Adds a section to Data Breaches allowing the documentation of the notification of affected data subjects in accordance with Art. 34 GDPR
External Data Transfer
Preselect All Organizational Units (only new external recipients) (new) - When enabled, all organizational units are automatically preselected when creating a new external recipient.
Processing activities & data protection impact assessments
General
Enable "Implementation date" field (new) - Adds a date field for the Implementation Date to the “Data Processing” page.
Enable "End date" field (new) - Adds a date field for the End Date to the “Data Processing” page.
Enable "Due date" field (new) - Adds a date field for the Due Date.
Enable "Process owner" field (new) - Adds a field to assign a Process Owner.
Process Owner field can be emptied (new) - Allows to empty the field again once assigned.
Require "Privacy expert" assignment - When enabled, assigning a Privacy Expert becomes mandatory.
Privacy Expert field can be emptied (new) - Allows to empty the field again once assigned.
Enable "Data Protection Officer (DPO)" field (new) - Adds a field to assign a Data Protection Officer.
Require "Data Protection Officer (DPO)" assignment - When enabled, assigning a Data Protection Officer (DPO) becomes mandatory.
Data Protection Officer field can be emptied (new) - Allows to empty the field again once assigned.
Enable "Labels & Categories" field (new) - Enables a field for Labels and Categories.
Data processing
Enable "Verification" for Legal Basis (new) - Shows verification field for any legal basis.
Enable data classification for Data Categories/Data types (new) - Allows to group data categories and data types into configurable classification classes in the Resources.
Enable Field for "Potential Amount of Data Subjects" (new) - Adds an input field for the potential amount of Data Subjects.
Remove "Not Excludable" Option for "Data of Minors" - Removes the option “not excludable“ from the “Data of Minors” field.
Enable attachments (file upload) on the "Data Processing" page - Allows the upload of files.
DPIA threshold assessment
Require Data Protection Impact Assessment (DPIA) Threshold Assessment - Makes the assessment mandatory.
Enable attachments (file upload) on "Data Protection Impact Assessment (DPIA) Threshold Assessment" page - Allows the upload of files.
Review
Enable attachments (file upload) on the "Review" page (new) - When enabled, users are allowed to upload files within the "Review" page. This setting is not available to all customers.
